What is a WhatsApp template and when do I need one?

It's a message written in advance and approved by Meta, with slots for the variable parts. You need one when you want to write first, or when more than 24 hours have passed since the customer's last message.

If you're coming from connecting WhatsApp through an unofficial route, this is the first thing that changes — and you had no reason to know it: it is a WhatsApp concept, not a concept of whatever platform you use.

What it is, exactly

A text you write in advance and that Meta approves, with slots for whatever changes on each send. For example: "Hi {{1}}, your order {{2}} has shipped. It arrives on {{3}}." Once approved, you send it as many times as you like, changing the slots.

Approval usually takes minutes, not days. But it does not happen at 3am on the day you need it.

When you need one (and when you don't)

  • You need one if you want to message someone first: an appointment reminder, a shipment, an invoice, a promotion.
  • You need one if more than 24 hours have passed since the customer's last message. See the 24-hour window.
  • You do NOT need one if your case is replying: support, enquiries, inbound sales. There you live inside the window and may never use a template.

The categories, because they change what you pay

  • Utility — something the customer is already expecting: order confirmation, appointment reminder, invoice.
  • Authentication — verification codes.
  • Marketing — promotions and news. The most expensive, and the most rejected.

⚠ Why they get rejected

Meta rejects on fairly concrete grounds, and almost always for the same reasons:

  • Wrong category. A promotion dressed up as utility rejects itself.
  • Slots at the very start or end of the text, or two slots next to each other. Meta cannot verify what goes there.
  • Text that promises something the template can't deliver, or that reads as spam.
  • No context. A template that says only "{{1}}" is never approved.

And the first-month trap

The number one failure for someone just integrating is reaching the moment to send with zero templates loaded. Everything worked in testing — because in testing you message yourself and the window is always open — and on the day of the first real send, everything bounces.

Load a template the same day you connect the number, even if you won't use it yet.
